Maximum allowable clients per Area Choose from the three options on the rule you wish RMS to enforce when making a reservation. TIP: If you are using the RMS Online module, you must choose either 'Warn if Over' or 'Dont allow more than is allowed' to stop guests from placing more people than is allowed in a category. Additional Tabs The reservation screen in RMS has many fields and tabs to store information for you. These four tabs are optional elements in the system; Show Reg No's Tab If you wish to record the guests car registration you may choose to turn this tab on, when making a reservation you will find another tab that will allow you to enter the guests registration number. Commonly used with the Boom Gate Interface in RMS. Show Access No's Tab This screen is used when the Boom Gate Interface is activated, it enables you to create and assign Boom Gate access numbers and cards to guests staying in your Park. Each Pin is unique and is created with an activation and de-activation date. Show Encashment Tab This screen is used with the Foreign Exchange Rate feature in RMS. This screen is commonly used in the UAE and India. Show Hold Tab Commonly used in the workforce system of RMS, this screen allows you to place a hold period against a reservation in your system which you can apply a different tariff to. Auto Tariff The Auto Tariff option in RMS is designed to allow you to automatically create the tariff onto reservations accounts x days prior to their arrival date. This will occur on startup of the system in the morning. Default Options All of the default options are processes that can be done in the RMS system regardless if they are selected here or not, however if not selected, they will become a manual process. TIP: We suggest that until you have seen and used the reservation screens to leave these options when first implementing your system, as you may come back and turn these features on at any time. Default No of Adults Each time a reservation is made the number entered here will be the default number of adults on the reservation screen, however at this time the field can be changed. Autoload Add Area when placing a Reservation Opens a secondary screen when placing a reservation into your RMS system, this screen is also used when making a group reservation as it allows you to select multiple areas at the same time. Autoload Attributes If you rely on seeing the Attributes of Categories/ Areas in your system, this option may be for you. You will be presented with a list of Category & Area Attributes that you will need to choose from before proceeding with a reservation, allowing you to find accommodation at your property with those specific attributes the guest is looking for. For more information on Attributes click HERE. Default Reservation to Days Only used in Facility systems, this changes all reservations to book by day instead of night. If your system is solely for the purpose of booking parks, ovals or conference rooms, this may be the option for you. Default Reservation to Long Term This option would only be chosen if your property only deals with long term rentals and you do not allow short term or tourist stays. Goto Group Reservation on Res This option only effects group reservations, when activated it tells RMS that when you are attempting to edit/change a specific reservation within a group booking to always take you to the group master record first. Default Requirement to Monitored Requirements are additional services you supply to your guests E.g. Daily delivery of a newspaper, Massages etc. By selecting this option you are making each requirement monitored, therefore you must mark off in the system when the requirement has been completed. If you choose not to select this option the requirements can still be used and applied to reservations. Reservation Times Set the default arrival and departure times for you reservations. This is a global setting that will effect all of the different types of accommodation you provide. TIP: Time in RMS is just as important as date, when making a reservation in your system, not only can the reservations date overlap another, but the times cannot overlap either, the time increment that the system uses was selected by you in the Options Tab. Use Category Default Times If your different types of accommodation have different default arrival and departure times you may wish to select this option, if selected when adding in your accommodation types you will need to ensure you set the default arrival and departure times on this screen for all types. By turning on this option you are over writing the default times above it. Hide Times on Main Res Screen. This option hides the Times on the reservation screen, times are shown beside the arrival and departure date. By hiding these fields they are still used by the system to ensure you do not overbook, however you will not be able to see them to change them if required. We do not suggest choosing this option. Reservation Creation Options Use Check In/Out This should be chosen in accommodation systems. This features means that you will be manually checking the reservations in and out in your RMS system. Warn on Check In if Res Unconfirmed Only an option is 'Use Check In/Out' is selected, a warning will appear if you are attempting to check in a reservation that is Unconfirmed. Unconfirmed reservations in RMS are those that have not paid the required deposit. Use Quote Status Quote Status allows you to make a reservation in your system without it taking away from your properties availability. Using this option would allow you to complete all reservation details for a client who is not yet sure if they wish to stay with you. It can also be used as a waitlist. Default to Quote Status Only available if 'Use Quote Status' is chosen, this will default all reservations to the status of Quote. If not chosen all new reservations will be known as unconfirmed until a deposit is taken. No of Days in the Past to Add a New Res Stops users from placing a reservation in your RMS system that has a departure date less than the number of days entered. Use Allotments Commonly used with the RMS Online Module, this option allows you to set allotments against Travel Agents, where you have a contract providing them x amount of areas to sell on your behalf. Warn if House Exceeds Allotments Only available if 'Use Allotments' is chosen, you will receive a warning message when making a reservation if by doing so you are taking an area that you have alloted to a Travel Agent. Allow Book by Category By default in the RMS system when making a reservation you must also assign an area. By selecting this option, when making a reservation you only need to choose the type of accommodation, when using this option you will need to go through and assign the rooms to the reservations the night before arrival. Allow Overbooking Only available if 'Allow Book by Category' chosen, this option allows you to overbook your property. We do not advise that you select this option unless you have a set procedure to accommodate it. Use Tariff Types for Travel Agents Commonly used with the RMS Online module, this option allows you to assign specific Tariffs/Rates to each Travel Agent. Therefore when a reservation is made and the agent is chosen, only those Tariffs/Rates assigned to the Travel Agent will appear for selection. TIP: If this option is chosen you must ensure that all Travel Agents in your system are assigned a Tariff/Rate, if not when the Travel Agent is chosen during the reservation process, no Tariff/Rate will be available for selection. Use Tariff Types for Companies This option allows you to assign specific Tariffs/Rates to each Company. Therefore when a reservation is made and the agent is chosen, only those Tariffs/Rates assigned to the Company will appear for selection. TIP: If this option is chosen you must ensure that all Companies in your system are assigned a Tariff/Rate, if not when the Company is chosen during the reservation process, no Tariff/Rate will be available for selection. Allow Pencil Bookings Used in Facility systems, works in the same way as allow overbooking. |
