Groupings

From any screen within RMSWeb

Click once on Setup on the Navigation bar
Choose Lookup Tables from the list
Choose Groupings from the sub list
Click once on Add

The grouping feature allows the below areas of RMSWeb to be grouped together when displayed in Report or on the screen.
G/L Acc Code
Area
Bkg Source
Task
Sundry
Charge Type
Country
Contact (Phone Directory)
Client Special Event
Client Status
 
An example for using the Heading for G/L Acc Code;
You may have chosen to have an individual G/L Acc Code for each category in your system, by using the Grouping feature you may set a Grouping named Accommodation associated to the Heading G.L Acc Code. By applying this grouping to each G/L Acc Code you have set in your system for the categories you will achieve the below outcome on your reporting;
Accommodation
         Oceanic Suites      Total
         Superior Suites      Total
         Bungalows         Total
Sub total Accommodation            Grand Total

1. Select the Use Heading For
Select from the list the area of RMSWeb you wish to assign Grouping.


2. Enter a Grouping description
Enter a description that best describes the area you wish to Group.


3. Click once on Save/Next to enter further Groupings. Click once on Save/Exit when complete.

Groupings

Groups may be established for a range of uses. Please refer to each area for suggested usage.
 
Creating Groupings for Event Management:
Select to use the heading for 'Tasks'.
This allows you to place all providers of a similar task consecutively on reports together. For example, Catering, Internal, Entertainment etc

Creating Groupings for Owner Accounting:

Groupings can only be a maximum of 6 characters. For the use of owner statements each of the 5 groups must be set to G/L Acc Code, these are then assigned to G/L Acc Codes within your RMSWeb system and placed in chosen order on the Owner Accounting tab.

Creating Groupings for Special Events
:
Client Special Events can be set up to report Birthdays, Anniversaries etc attached to client records to report on these events so you can then contact the client if you wish.

 
Groupings Search Screen:
The Groupings search screen will show a list of all groups by default.

You may filter the Groupings list to find the person you are after by using either the Use For or Filter By options on the bottom left hand side of the screen.
Use For options include: All (default), G/L Acc Code, Area, Bkg Source, Task, Sundry, Charge Type, Country, Phone Directory and Client Special Event.
Filter Option is Heading.

The columns on this screen are able to be widened by click, hold and drag mouse function, left or right, the column you wish to decrease or increase.

To move the column order, click and hold the column title you wish to move, keeping the mouse button down drag the column left or right to the desired area you wish for it to show, release the mouse button to drop the column into position.
