This subject will take you through each tab/option available on the
Category setup screen.
The Category Details
tab
Display No: Set
the order in which you wish the Categories displayed on your
booking chart. One (1) will be at the top of screen, Two (2) next
and so on. The display number may be changed by clicking the Move
button and selecting the number required from the drop down
list.
Short Description: Enter
a name for the Category. For Example: Standard Rooms, Powered site,
East Wing. It is this description which will appear on both
receipts and reports etc.
Long Description: A
field to record additional descriptions, this field is
optional.
If you have chosen to use RMSOnline it would be beneficial for you
to enter information into this field as it is then displayed on
your online booking screen.
Maximum No of Occupants per Area: When
a number is entered in this field, RMS will warn or block when the
number of people per room exceeds this number.
Maximum No of Occupants per Category: When
a number is entered in this field, RMS will warn or block when the
number of people per category exceeds this number. As this number
deals with the overall category you will need to add up the number
of occupants per room within this category then enter the total
number. This option is commonly used with the Book by Category
option under System Options,General
Options.
Type: Coming
soon to RMSWeb
Account Code: Select
an account number/name to record revenues for this category
against. The default setting requires a unique Account for each
category but this may be overridden see System
Option,Accounting
Optionsif you wish to report on more than one category using the same
account number.
Property: If
you have setup multiple properties, then you may attach a category
to a specific property.
Layout File Name: You
can attach a picture of the category by simply browsing your
network to find the picture file.
This field is also used for the RMSOnline module where the path
would be a URL address to the picture which resides on the
web.
Class: Select
Accommodation for categories with accommodation areas and Facility
for categories with non-accommodation
areas.
Category Manager: If
using RMS online to receive internet bookings you may select one
RMS user to receive email notification of bookings being received.
That user may then confirm the booking, allocate a room or
undertake any further processing.
Rental per Sq. Mt.: Coming
soon to RMSWeb
Code: This
field is specifically for the Res Import routine, allowing to user
to enter the type of accommodation that category accepts e.g. 4x4
or 4x6, in turn the import routine uses this field to determine
what type of accommodation clients have requested and ensures there
are sufficient allotments for that type.
Commonly used in UK properties.
Interconnecting Category: Selecting
this option activates the interconnecting category function, this
option should only be selected if you have areas that are
interconnecting. Please consult with an RMS Customer Support member
before setting up your interconnecting
areas.
Book By: Accommodation
categories will usually select By Night – the departure date will
then default to one day later than the arrival date, awaiting any
change required.
Facility / Event Management Module categories are frequently booked
per day, and can select that setting. Default Arrival and departure
dates will be the same date when book by day is
selected.
Allow Multiple Reservations over the same time: This
field allow you to make multiple reservations in the same room over
the same dates. Therefore over booking a room.
Available to Kiosk: Only
used with the Kiosk module of RMS.
Include on Housekeeper report: If
you wish your category to be included on the Housekeepers report
you will need to tick this option.

of Areas to Hold from RMSOnline: This
option tells RMSWeb to automatically hold back X amount of areas
from the RMSOnline module regardless if they are available or
not.
The Housekeeping tab will only
be relevant if you have chosen to use the Housekeeping Module of
RMSWeb.
Here you can assign the default tasks for each category. To do this
you must choose from the Task list on the left of the screen and
using the > button move those tasks required to the right hand
side of the screen.
You may also choose to set default Bed Configuration, this is an
optional element of the Housekeeping module. The Bed Configuration
set here will flow through to all rooms within the category.
The Attributes tab is where
you can set specific Attributes for each category.
The Tariff Type tab
allows you to set the way in which the Tariff will be created for
reservations associated to this category.
The system will automatically set itself to Use Setting from
Account Setup - See System Options, Accounting Options to see what you have
set your system to. Create
Nightly Tariff:RMSWeb will charge one nights tariff each night of the
reservations stay. This option is commonly used in conjunction with
End of Day. Create Total Tariff:When the reservation is checked in, RMSWeb will create a single
line charge for the total accommodation. User to Choose:Allows you to choose on a reservation by reservation basis
whether to charge nightly or total tariff. Not a common
choice.
The Rental Type tab
allows you to make the Tax setting different for each category.
Commonly this tab is not changed.
The system default for this tab is Use Global Tax Setting from
Account setup. See System Options, Accounting Options for further
information.
The Budgets tab -
Budget bed nights may be entered here, for comparison with actual
achieved figures. More

The Times tab allows you
to set the Default Times and Available Times for each category. Default
Times are the default arrival and departure times for this
property. They will automatically set themselves to the global
setting found under System Options, General Options.
Available Times are used by Facility categories, this is the time
from and to which the bookable areas are available for. Mainly used
for bookable ovals, sporting grounds and conference
rooms.
The Area tab shows a list
of areas which are within this category. For more information on
