Single Reservations

There are several ways to make a reservation in the RMS system - This screen explains how to place a reservation from the 'Add Reservation' screen.  
 
Yellow Fields indicate system fields and will be completed automatically by the system when the reservation is saved.  
Blue Fields indicate mandatory fields and you cannot save the reservation until all of these fields have been completed.  
Grey Fields to the right cannot be altered until the reservation has been saved.  
Status Field will change colour depending on the status of the reservation, red = Unconfirmed, green = Confirmed, blue = Arrived, purple = Departed, pink = Cancelled.  
 
Go to Add button on the Upper Tool Bar.

Adding Reservation Details:

Res No:  
This number is generated by RMS when the Reservation is Saved. Can be used as a reference number.  
 
GrpRes No:  
This number is generated by RMS when the Group Reservation is Saved. Can also be used as a reference number.  
 
Status:  
The status is initially set as Unconfirmed. Operators may change the status to Confirmed to indicate a certain stage has been reached ( eg a deposit paid) but both Unconfirmed and Confirmed status have booked the area. Operators may cause the status to change by selecting Check In ( Arrived status) Check Out (Departed) status. When a booking is cancelled or No Show selected, the reservation status will reflect those actions.  
 
A Quote status, where used, indicates an enquiry has been made but a QUote status will NOT reserve the area - it must be changed to an Unconfirmed status before a reservation is made.  
 
A Maintenance status indicates the area has been taken out of availability for that period by using the Maintenance feature in the Utilities menu.  
 
Repeat Res No:  
This number is generated by RMS if the reservation is a part of a repeating series.  
 
Date Made:  
Here RMS records the date and time that the reservation was made.  
 
Made By:  
The system will record who made the reservation by who is logged on at the time.  
 
Last Modified:  
RMS will record the date and time that the reservation was last modified  
 
Modified By:  
Stores who last modified the reservation by who is logged on.  
 
Cancelled:  
Records the date and time that the reservation was cancelled.  
 
Cancelled By:  
Logs who cancelled the reservation.  
 
RESERVATION STEPS  
 
1. Select the arrival date of the reservation. You may free type the date or use the drop down arrow to the right, using the calendar.  
2. Select the departure date of the reservation. You may free type the date or use the drop down arrow to the right, using the calendar.  
3. Enter the number of Adults, Children, infants and other (if shown)  
4. Select the category you wish to allocate the reservation to using the drop down arrow to the right.  
5. Select the Charge Type (this determines the tariff to be charged to the reservation).  
6. Choose the room you require.  
 
All other fields shown above may be completed if necessary. Fields such as Company, Booking Source, Travel Agent, Res Type, Sub Res Type, Contact and Business Lost you must use the drop down arrow and select your choice these are not free type fields.  
 
Adding Client Details:

Client No:  
This field will be completed by the system when the reservation is saved.  
 
Account No:  
This number is generated by RMS when the reservation is saved.  
 
 
1. Type in part or all of the surname and hit enter on the keyboard, this will initiate a search through the client database to access whether this guest has stayed before, if any matches are found they will be previewed for you to select from. This step is highly important as it will minimize double ups of client details in your database.  
2. Complete all details necessary.  
 
- Fields such as Company and Booking Source will overwrite the reservation details of a reservation.  
- The Discount field will apply to the account if chosen from this area.  
- It is important not to place spaces in the credit card number as this field will flow through to the payments section and there are only enough characters for the card number without spaces.  
 
Once these details are completed you may then choose your Save option at the bottom of the reservation screen.
