Security Profiles

Go to Ancilliary Setup Menu - arrow next to Set Up on the Upper Tool Bar, choose Security Profiles, then select Add.  
 
RMS has Master and individual passwords.  If you intend to choose the option for passwords required (See Setup Menu, General Information and Options) each User should be registered with their own password and you will need to establish a security profile which each user can be assigned. More than one user can be assigned to a security profile. Once that is complete go to Set Up and activate the Password Required option.  
 
The User name Manager and Password Manager is the default setting for the Master user. It is suggested that each site adopt its own password for the User Manager but extreme care should be taken to ensure that the password is not lost or forgotten - RMS will require a very high level of documentation and it is frequently necessary to send a copy of your data to RMS to facilitate password decryption. This process involves delay and inconvenience before re-activation can occur.  
If you wish RMS can store your password in your client record at RMS. We will only release a password when we receive a written request from an authorised officer at your property - simply contact RMS Support to advise your password.  
   
Step One:  
Under the drop down arrow to the right of the setup button on the top tool bar you will find the option Security Profiles here you will add your profiles for the different levels of access. Eg. Management, reception etc.  
 
If you have activated the option for passwords required see Setup Menu, General Information, Options tab you will be required to setup profiles.  
   
Enter in the profile name, Eg. Reception, Management etc.  
   
Click once on each function the employee will be required to make changes to on the left to change the column allow from No to Yes.  
If you wish the employee to have read only access meaning they can only view a screen but make not changes then change the right column ReadOnly from No to Yes.  
   
All profiles default to full access to all Categories. If you wish to deny a Profile access to a particular category highlight the specific category on the right and side and using the less than icon (<) move that category to the left hand side.  
 
 
All profiles default to provide access to all the Charge Types you have set up. If you wish to restrict a profile to using certain Charge Types, select the Charge Type tab, higlight the Charge Types you wish to restrict for this profile and click the < button to move thos eCharge Types to the No Access area.  
 
Save & Exit.

Step Two:  
Go to the Ancilliary Setup Menu - arrow next to Set Up on the Upper Tool Bar, choose User Information, then Add.  
 
Enter as much detail as required for each user. User Name, password and Surname must be entered.  
   
The Inactive box should be selected to disable access when a User loses rights to RMS.  
 
Select the correct Security Profile for this user.  
 
You will not be required to enter anything into the Security tab or Category Security tab.
