Please follow this guide to Setup and Install the RMSOnline Module of the RMS system.  
   
The RMSOnline Module works seamlessly with RMS to record reservations from the internet and payments for accommodation allowing you to maintain your own online booking system.  
   
Availability of your RMS database is monitored and updated every 2 minutes automatically synchronizing both the RMS application and RMSOnline. Full property details are monitored and updated every 6 hours automatically, although both synchronizations can be ran manually at any time.  
   
RMSOnline client should be installed onto a machine which has 24 hr access to the internet to enable it to monitor and synchronize the online reservations with your RMS application, while it can be minimized to the bottom of the screen it MUST NOT be closed.  
   
You may display your company logo on the left of the RMSOnline banner; this must be max 400 x 40 pixels in size.  
   
Your RMSOnline client will show in your system tray as the icon below.  
 
Glossary of Terms:  
Synchronisation:  
This is where RMSOnline and RMS exchange reservation, availability and setup details, allowing both systems to be aligned at any one time.  
   
Full Property Synchronisation:  
This function will occur every six (6) hours, exchanging RMS setup details including allotments and tariffs.  
   
Reservation Synchronisation:  
This function will occur every two (2) minutes, exchanging reservation details and availability.  
 
1. SETUP – General Information  
Go To  
Setup Menu, General Information  
Enter  
Your property details including your email address  
Go To  
The Options Tab  
Tick  
Use Allotments  
Tick  
Charge types for Agents  
Save and Exit  
 
2. SETUP – Category/Area  
Go To  
Setup Menu, Category/Area  
Edit  
Category required for RMSOnline  
Click  
Edit  
Enter  
Max occupants per area & per Category  
Save and Exit  
Repeat  
Until all Categories have a Max occupants  
 
3. SETUP – Tariffs  
Enter  
New Tariffs if required  
Refer to pages 54 – 60 of your RMS Setup Manual  
   
4. SETUP – Travel Agents  
Go To  
Setup Menu, drop down arrow  
Select  
Travel Agents  
Choose  
Add  
Enter  
Agent Name E.g. RMSOnline or Internet Bookings  
Enter  
Agent code 1  
Save and Exit  
Click  
Find  
Edit  
The new travel agent  
Go To  
Charge type tab  
Move  
Charge types required for RMSOnline bookings to the Right  
All charge types moved to the right can be chosen by the public when making online reservations.  
Go To  
Allotments Tab  
Select  
Add  
Select  
Category from the drop down list  
Select  
From to Dates for the availability of this category on RMSOnline  
Enter  
The number of rooms you wish to show available on RMSOnline from this Category  
Save and Exit  
Repeat  
Until allotments are entered for all Categories you wish to show online.  
   
5. SETUP – RMSOnline Options  
Go To  
Setup Menu, drop down arrow  
Select  
RMSOnline Options  
Enter  
Your property cancellation policy  
Enter  
Your property terms and conditions  
Save and Exit  
   
6. INSTALLATION FROM RMS CD – RMSOnline Client  
Insert  
RMS Install CD  
Exit  
From auto run screen  
Open  
My Computer  
Right Click  
On your CD drive  
Select  
Explore  
Open  
The RMSOnline Client folder  
Run  
The Setup file  
Next  
Through the install leaving the defaults as is  
Restart  
Your computer  
   
7. INSTALLATION FROM RMS WEB – RMSOnline Client  
Go To  
www.rms-global.com  
Login  
Using your Client ID  
Go To  
Downloads page  
Download  
RMSOnline Client - Version 2.26 to your desktop  
Install  
The RMSOnline Client using above file  
Restart  
Your computer  
   
8. RUN – Starting up RMSOnline Client  
The RMSOnline client should startup automatically on the restart of your system.  
IF Not  
Go To  
Start, Programs, Startup, RMSOnline Client  
Go To  
Tools  
Select  
Options  
Enter  
Your username & password as per page 1  
Go To  
The Database Tab  
Enter  
Your SQL Login details  
The details on this screen should be the same as your RMS connection wizard.  
Select  
The SQL Server from the drop down list  
Select  
Your database from the drop down list  
Save and Exit  
 
9. SYNCHRONIZING – Full Property Details  
Go To  
Synchronise  
Select  
Full Property  
This process can take up to 5 minutes to run, please be patient. When complete you will see a line in the message screen 'Upload completed' as shown above.  
   
10. RMSOnline Transactions  
In order to view all RMSOnline Reservation transactions Paid and Unpaid from RMS you may log onto our customer service page through www.rms-global.com.  
 
To Logon to the RMS web page:  
   
Go to www.rms-global.com

Click once on the Customer Service option on the navigation bar as shown in the screen shot above.  
 
The below page will appear.  
   
Enter your client ID and password (if unknown this can be obtained from the RMS support desk) and choose enter.

Click once on the Online Transactions button as shown in the screen shot below.

This page is broken into 4 sections;  
A total of the unpaid transactions  
A total of the paid transactions  
A breakdown of the unpaid transactions  
A breakdown of the paid transactions  
   
Unpaid Transactions:  
These are broken into each reservation made from RMSOnline. They can be identified in RMS using the Booking ID number. Each transaction is listed with the information of Booking ID, Property/Guest Name, Trans Date and Amount owing.  
   
Paid Transactions:  
This section is also broken into each reservation made from RMSOnline. Each transaction is listed with the information of Booking ID, Property/Guest Name, Trans Date, Date Paid and Amount Paid.  
   
The Booking ID represents the RMSOnline Confirmation number found on the Confirmation email.  
   
This page may be printed using your print option on your internet toolbar.
