| Click on the Set Up button, upper tool bar then select General Information to display the tabs below.
|
|
|
|
|
|
| Booking Source Mandatory on Res:
|
| When activated, RMS will not accept a reservation until the Booking Source field has been entered.
|
|
|
| Res Type Mandatory:
|
| A selection from the Reservation Type list must be made before the reservation can be saved.
|
|
|
| Show Reg Nos:
|
| This option will turn on an additional tab in the reservation screen to store car registration numbers. This feature is commonly used in conjuction with the boomgate interface.
|
|
|
| Show Access Nos:
|
| This option will turn on an additional tab in the reservation screen to store boomgate access numbers. This feature is commonly used in conjuction with the boomgate interface.
|
|
|
| Ignore times on Main Screen:
|
| When selected, times will not be shown as part of the Arrival and Departure dates on the reservation screen, though the default times will still be set to each reservation.
|
|
|
| Warn if a Unit is Dirty:
|
| A message will appear when a reservation is checked in to a unit which has a Dirty status. Will also show the status available rooms on the add area screen when placing a new reservation.
|
|
|
| Use Check In/Check Out:
|
| Accommodation sites generally record Arrivals and Departures and will activate Check In/Out. Access to the full range of status and an accurate occupancy report requires this setting to be active.
|
| Facility sites do not usually require this information and will not activate this setting.
|
|
|
| Warn on Check In if Res Unconfirmed:
|
| This setting will activate a warning on check in when a reservation is being checked in which currently still has a status of unconfirmed.
|
|
|
| Need Clients in each Area of Group:
|
| The names of all clients in a Group are required before Check In will be allowed.
|
|
|
| Default Reservation to Days:
|
| Accommodation sites will not activate this setting, preferring to set bookings per night.
|
| Non accommodation sites are usually booked per day and will activate this option.
|
|
|
| Default Reservation to Long term:
|
| Will set the Long term indicator automatically when a reservation is made which may be used to identify bookings which qualify for special rates, indicates permanent residents which can then be used as a source for marketing information.
|
| This setting would only be turned of for those properties who only take long term reservations (real estate agents etc).
|
|
|
| Adults Mandatory on Reservation:
|
| When activated, this option requires an entry in the Adults field.
|
|
|
| Maximum allowable Clients per Area:
|
| Three settings which will either ignore warn or block reservations if maximum specified numbers are exceeded. The maximum numbers for an area must be entered into the Category Setup for the warning to be functional.
|
|
|
| Default no of res screens allowed open at the same time
|
| RMS has the ability to have multiple reservation screens open at the same time. This is a very useful feature which allows interuption to attend to a query without the need to close a screen being processed. If too many screens are open concurrently, system degradation will occur so the number of screens able to be open at the same time is set to a default of 2, which may be increased to suit particular operations.

|
| Default Times:
|
| The times set here which will show in the Arrive and Depart fields of the Reservations. The site's normal check in and out times are usually set as the default.
|
| These times will be over-ridden if the option of "Use Category Default Times" is chosen from the Options Tab.
|
|
|
| Default Number of Adults:
|
| For each new reservation sets the default number of adults. Individual reservations may be amended where the number is different to that set as the default. The default number is usually the number included in the base tariffs.
|
|
|
| Housekeeping:
|
| Select the frequency of Housekeeping. This will determine which rooms appear on the daily housekeeping list. 'Day of the week' allows the days to be specified, 'Average every' will assign housekeeping at regular intervals, 'Every' will assign housekeeping every..th day. Enter the frequency you wish to change linen by entering a number in the box adjacent to the Average every or Every box you have selected you have chosen. eg 7 in Average Every will cause rooms to appear on teh Housekeepers Report as Linen on an average of 7 days for the duration of the reservation.

| Auto Add Area when placing a new Reservation:
|
| This setting will display the Available Rooms/Quote screen before showing the full reservation screen. It will allow selection of room/site before entering client names and other reservation details.
|
|
|
| Auto Load Attributes:
|
| This setting will automatically display the Attributes fields from the Availability chart or the Booking chart, allowing you to limit the display to those units with the desired attributes.
|
|
|
| CLIENT OPTIONS:
|
| Start the Cursor in Field:
|
| Select a field for the cursor to start in, either group name, surname or membership number.
|
| Surname is the most common selection, however those properties who also have a membership database interfaced with RMS would normally chose the membership number.
|
|
|
| If Group Sibling or Secondary Client supplied Ignore Mandatory Fields:
|
| This option would mean that when you are making a group booking to only make the appropriate mandatory field liable on the group master and not the individual areas.
|
|
|
| Allow Account transfer to Reservation:
|
| Permits transfers from the client account to the reservation account. Allows a deposit to be taken and recorded against a client, before a reservation is created. Once a reservation is made the balance should be transferred to the reservation account as that is the account which will have charges posted against it.
|
| Please speak to Customer Support before turning on this option.
|
|
|
| Make fields Mandatory:
|
| When a field has been designated as mandatory here, it must contain data. RMS will not allow the booking to be saved or processed if a mandatory field remains blank.
|
|
|
| When Country running from Different from Country of Client:
|
| Three (3) mandatory options which will only take effect when the country entered into the guest address differs from the country your property is running from under the System Tab.
