Requirements & Reservations

| This feature allows miscellaneous items to be recorded against a reservation. Special requests, additional services or items that are not covered in the tariff may be listed here. E.g. cot hire, reminder calls, champagne on arrival. There is no limit to the number of requirements for each reservation.

| A requirement may:
|
| - have a charge assigned which will be automatically applied to the Reservation account.
|
| - show on the housekeepers report to inform housekeeping of particular requirements.
|
| - apply a requirement on a daily basis.
|
| - be printed as part of a daily "to do" list.
|
|
|
| To make a charge fro a requirement, the entry on an account will use the description of the Sundry Charge, so it will be necessary to set up additional sundry charges if explicit descriptions are required on an account. E.g. a requirement for additional towels linked to a sundry charge of "Extra Items" will only show a charge for Extra Items on the account- to have "Additional Towels" appear on the account it will be necessary to establish a sundry charge called Additional Towels.

| For a requirement to apply a charge automatically to the reservation account you will be required to setup the requirements before guest arrival.

| When creating and editing a reservation you will see a box in the bottom right corner named Requirements.

| To add a requirement to a reservation select 'Add'.
|

| From the drop down list select the requirement you wish to allocate. If you cannot find the correct Requirement you will need to add to the Master Requirement List. See Setup, Requirements.

| If your requirement runs over a period of time enter the correct from and to dates. Requirements can be placed outside the reservation arrive, depart dates but only if there is no sundry charge attached.

| If your requirement is to occur on a daily basis (E.g. Deliver Morning Paper, Wake Up calls) place a tick in the 'Required Daily' box.

| If you wish your requirement to appear on the housekeepers report, place a tick in the 'Appear on Housekeepers Report' box.

| You now have the choice to apply a charge for the requirement. To do this select the appropriate sundry charge from the drop down list, enter the Quantity and Unit Price. If you wish to use the default charge attached to the sundry charge then place a tick in the 'Use Amount from Sundry' box.

| If your requirement runs over a period and you wish the charge to apply daily then place a tick in the 'Charge Required Daily' box. If this option is selected you may then choose to either exclude or include the to date of the requirement.

| Choose the appropriate Save button and continue.
|
|
|
| If Using Charge Redirection:
|
| In order for a requirement to redirect to another account you must tick the option 'Use Amount from Sundry' in the add requirement screen.
