| Click on the Set Up button, upper tool bar then select General Information to display the tabs below.
|
|
|
|
|
|
| Password required:
|
| Do not select this until you have established Security Profiles and Users as a password and active username will be required to log into RMS. see Security Profiles and User Information.
|
|
|
| Go to Group Reservation On Res:
|
| This option defaults the system to open the Group master reservation when a sibling is chosen.
|
|
|
| Use Allotments:
|
| For Travel Agents this feature reserves a specified number of rooms. Reservations by that Agent will reduce the number of rooms held in the allotment. The allotments are established at the Travel Agent area. see Travel Agents
|
|
|
| Warn if house exceeds Allotment :
|
| This will activate a message to be displayed when the number of reservations made by the house (your property) starts to take over rooms previously allotted to a Travel Agent or RMSOnline
|
|
|
| Record Client/ Company Stats:
|
| On the Client and Company records RMS will display a history of reservation revenue and the number of visits. This feature identifies frequent customers to front desk staff.
|
|
|
| Run multiple instances of RMS:
|
| Allows two or more instancesof RMS to be open at one time on one computer. Seek help desk support before activating.
|
|
|
| Charge Type Mandatory:
|
| If selected, RMS will not accept a reservation until the Charge Type field has been entered. This feature is designed to ensure that all reservations have had a tariff assigned.
|

|
| Travel Agent Mandatory:
|
| If selected, RMS will not accept a reservation until the Travel Agent field has been entered.
|
|
|
| Company Mandatory on Res:
|
| If selected, RMS will not accept a reservation until the Company field has been entered.
|

|
| Use Charge Types for Agents:
|
| Allows you to attach specific tariffs to each travel agent which will over-write the charge type attached to that reservation. If this option is chosen you must ensure that you attach charge types to all Travel Agents in your system.
|
|
|
| Use Charge Types for Companies:
|
| Allows you to attach specific tariffs to a Company which will limit application of specified tariffs to reservations for that company only. If this option is chosen you must ensure that you attach charge types to all Companies in your system.
|
|
|
| Process Late Fees on Startup:
|
| Creates late fees each day on the start up of RMS.
|
| See Late Fees for further information.
|
|
|
| Use Encashment:
|
| Activates the encashment certificate feature - used in India only. See Encashment for further information.
|
|
|
| Default Requirement to Monitored:
|
| When selected, All requirements will be set up as monitored requirements. see also Monitored Requirements
|
|
|
| Use Hold:
|
| Activates the Hold feature often used in Mining Camps - where a room's occupant is absent for a period within a reservation's dates but the room remains booked - the absence maybe charged at a different tariff.
|
|
|
| Use Category Default times:
|
| This setting uses the default times for the selected category when creating a reservation. This would over-ride the general default times under the Reservation Tab of general information.
|
|
|
| Use Customised Reporting:
|
| This feature is currently under development.
|
| To allow the use of a customized reporting menu, allowing you to place all of your favourite reports into 1 menu for easy accessability.
|
|
|
| Part of CRS:
|
| Only selected when the database is part of a call centre operation. Please speak to Customer Support before selecting this option.
|
|
|
| Allow Booking by Category:
|
| This feature allows reservations to be made without an area being allocated. Availability is determined by Category, with rooms assigned at a later date Eg. Operators may choose to allocate rooms on arrival.
|
|
|
| Allow Overbooking:
|
| If book by category has been selected, it is possible to overbook to counter expected cancellations/ no shows.
|
|
|
| Leisure Link Connected:
|
| This option allows you to access online pages directly linked to RMSOnline. RMSOnline is an additional module to RMS that you would need to purchase via your sales contact.
|
|
|
| No of Days in the past to allow new res:
|
| This feature allows you to create bookings with past arrival & departure dates.
|
|
|
| SMTP server:
|
| This will be required if you wish to email Correspondence Letters from RMS.
|
| The email server address used by your mail server.
|
| Please Note: You will need to contact your internet service provider or IT technical support person for this information.

|
| My outgoing server (SMTP) requires authentication:
|
| If your outbound mail server requires a username and password to send email this would need to be ticked and the username and password entered.
|

|
| Yield Management:
|
| This feature applies a discounted tariff to bookings, based on pre-set occupancy levels. The yield management table here specifies the occupancy levels which must apply for the yield management reductions to activate. The tariff set up will determine when these settings are to apply. See also Tariff Lookup tables.

|
| Auto Tariff:
|
| This option is used by properties which do not use the check in/out feature of RMS. Setting this option tells the system to automatically create the tariff for the reservations on either the set arrival date or x number of days prior to their arrival date without the operator having to check the reservation in.
|
|
|
| Use Auto Tariff:
|
| This option creates tariffs for reservations by arrival date regardless of using the check in/out function of RMS. Frequently used in Facility sites where check in/out is not used.
|
|
|
| Create tariff x days prior to arrival:
|
| Used in conjunction with Auto Tariff, global setting to create the tariffs for reservations x days prior to their arrival date.
|
|
|
| ** Note: If you are using a College system you will also find a setting in this screen for Photo Dimensions, here you can nominate a default width and height for all student photos.
|
|
|
| Credit Card:
|
| RMS can process credit card payments online without the need for a separate merchant machine. The RMS keyboard wedge reads card details and transmits to your credit card merchant facility. The Gateway provider specified here enables that transmission. If you wish to purchase credit card wedge readers please contact sales at ausales@rms-global.com

| Remove Credit Card No x Days after Departure: (Version 8.11 ONLY)
|
| Set the number of Days you wish the RMS system to automatically remove credit card details from Client Details after the guest has departed. RMS will automatically remove all credit card details from your database as per the setting you have entered on startup of the RMS system each morning.

|
