Occupancy by Category Report Option

| For the option on the Occupancy Report to work as required the following setup will need to be followed:

|
| This option will only work with the Occ By Categories chosen.
|
|
|
| This setting follows these rules;
|
| 1. The revenue shown against each Category will balance back to the Management Charge Report as long as the account codes for each Category and Repeat Charge have been set correctly.
|
| 2. The New Occupancy report will only work for past dates as it is look for revenue which has been posted to the reservation accounts.
|
|
|
| Each Category during the setup process is assigned an Account Code, it is suggested that you set each Category with its own unique account code to remove any confusion with the revenue figures.
|
|
|
| Each Sundry Charge which is to be used for Repeat Charges should be unique to the category and account code to which it will be attached.
|
| An Example of what not to do in regards to the Sundry Charge/Repeat Charge:
|

|
|
| This weekly rental has been attached to the account code 4-1502
|
|
|
| Account Code 4-1502 as shown below is Park Owned Vans, however the description of the sundry charge does not inform the user of this and as a result the sundry charge has been attached to the category of Permanent.
|
|
|
| Therefore in this scenario, the New Occupancy report would show 160.00 less that the charge report for the Park Owned Vans category.
|
| However it is the New Occupancy report that is correct.
|
|
|
|
|
|
| To avoid this issue you will have to ensure the following;
|
|
|
| Each sundry charge which is used as a repeat charge must have in the description which category it is to be used for, and also must have the correct account code attached to it for that category.
|
|
|
| The users MUST then select the correct sundry charge for the correct category.
