| The Housekeeping features offer many options. You may decide how many of the options are to apply at your site.

| 1. General Information, Reservation Tab
|
| Sets the default Linen frequencies which will apply to all reservations unless changes are made at the reservations
|
|
|
|
|
|
| Day of the Week: -Allows selection of a particular day for linen changes, this is set at the Area Level.
|
| Average Every: -Calculates Linen change requirements based on the number of nights stay and Averages them across the stay.
|
| Every: -Calculates the Linen change frequency based on the number set.
|
|
|
| 2. General Information, Modules Tab

| Select the Housekeeping module to activate Housekeeping.
|
|
|
|
|
|
| 3. Category/Area
|
|
|
| This is an optional feature which is only used if you wish to assign the length of time each task should take. That is then used in conjunction with steps 5 and 6 below.
|
| Enter the number of minutes for each task. These times will appear in the Time Req. column of the Housekeepers Report if that choice is selected.
|
|
|
|
|
|
| 4. Reservation Housekeeper Tab
|
| Each reservation adopts the default settings but you may set service frequencies for each reservation here. Changes will be instantly reflected in the housekeeping schedule displayed on the right.
|

|
|
|
|
| 5. Setting up your Housekeepers:
|
|
|
| Optional step
|
| From the drop down arrow to the right of the setup button, select the housekeepers option, then add.
|
|
|
|
|
|
| Enter each of the housekeepers name and address, phone numbers and email contacts. Enter any notes into the notes field required.
|
|
|
| Minutes Available per day:
|
| Enter the # of minutes that each housekeeper is available each day. This number is not variable on a daily basis.
|
|
|
| Employee Type:
|
| Enter the classification of the housekeeper's employment, Eg. Full Time, Casual.
|
|
|
| 6. Allocating rooms to housekeepers
|
|
|
| Optional Step
|
| From the top tool bar select the down arrow to the right of the clean button and choose the housekeepers schedule.
|
|
|
| The top part of the report lists the available and allocated times. The lower part, with the coloured background shows the rooms which are to be cleaned but have not been
|
| allocated to a housekeeper.
|
|
|
|
|
|
| Double click on the housekeeper you wish to assign rooms to first.
|
|
|
| Select Allocation to assign tasks for each Housekeeper. The available and remaining times for each Housekeeper are shown at the base of this screen.
|
|
|
|
|
|
| Housekeeper Report:
|
| The Housekeeper report has been revised to provide various format and display options. We suggest you try the options with your data and settle on a preferred format.
|
| Maintenance rooms default to not show on the housekeepers report, however, we have included an option to show these rooms if you wish.
|
|
|
| Cleaning Rooms:
|
| The Clean button is located on the upper tool bar.
|
|
|
| 1. Click on the arrow next to the Clean button
|
| Set Rooms to clean using the 'a room' option, enter a room number to change the room status to Clean or select the 'departure date' button to apply to all rooms to be changed to a Clean status.
|
|
|
| 2. Click on the Clean button
|
| This will display the Housekeeper grid.
|
| This screen has a variety of uses and is flexible in both content and display.
|
| Columns may be moved, hidden and expanded in size.
|
| Filters:
|
| - Select the Category to be displayed
|
| - Select which room status you wish to display
|
| - Select which order the rooms are to appear in. eg select Status to show Occupied Rooms at the top of the display and vacant rooms following.
|
| Select font size required
|
|
|
| The legend indicates the colours of each status together with the number of areas in each status.
|
|
|
|
|
|
|
|
| Lower Toolbar buttons:
|
| Click on Select All if you wish to complete a task on all rooms. Deselect All will remove the tick from the box against all rooms.
|
| Set to Dirty will change the status of selected rooms to Dirty, Set to clean will change the status to Clean. You may do this for individual rooms or click on the select box for any combination of rooms to save time, then select the clean/dirt status to be applied.
|
|
|
| Reservations may be added and edited directly from this screen.
|
|
|
| Reset will return the column display to the default display - Columns may be resized and moved as required.
|
|
|
| Exp Arrivals will produce a list of arrivals due on the date selected. Refresh will re-search the database, based on the filters which have been selected..
|

|
