Charge Periods

The Charge Periods are the "When" part of the tariff set up. You may have multiple periods, such as seasons and each Charge Period may be applied to as many tariffs as needed - there is no need to set up identical charge periods for different tariffs.

You can simply use the same charge period for several charge types, where the dates are the same.

Go to Setup Menu from the Upper Tool Bar, choose Charge Periods, then select Add.

RMS allows multiple charge periods. It is possible to have different periods applying to various tariffs at your site.

It is suggested that all tariffs have a start and end date, representing the duration the current tariffs apply, usually for a year. Once a tariff year has been established, shorter seasons may be added, reflecting high tariff times or indeed low tariff applicability.

Standard Tariff duration (Low Season)
eg; Jan 1.....................................................................Dec 31

Mid Season
Jan 1.............................Mar 31

Festival (Peak rate)

Feb 6...............Feb 9

The above diagram demonstrates that three tariffs may apply for the period Feb 6 – Mar 31 and RMS will search for a look up table which provides for the chosen charge type in the selected category for those dates. The tariff for the shortest period will be applied to that reservation, recognising that the festival rate is different to the mid season rate which is different to the standard tariff. Your preferred tariff will be that with the shorter duration as it is that tariff which reflects the rate you wish to charge for those particular dates.

Shorter duration tariffs are usually higher, reflecting times of increased demand but you could also specify a short period for a reduced rate to apply, eg depth of low season.

The system will calculate the correct tariff, based on the dates and charge type. If a reservation crosses seasons, RMS will apply the correct rate for each day.

The default entry is All Year Round which may be used, however it should be understood that any change to tariff rates when All Year Round is used will cause a change to all existing reservations, as well as for new reservations. For that reason, actual start and finish dates are preferred.

If a booking extends beyond the dates for the tariff RMS will not be able to calculate any tariff.

If you wish, a minimum reservation period maybe added here to ensure that reservations made for that period meet your business rules.

Charge Periods for College systems:

chargetypesemeters

The college system slightly differs where the Charge Period screen includes a Semester tick box. When adding your semester dates ensure that you tick the Semester option. This will cause all semester reservations to have the dates entered here and the client and reservation accounts will be the same account.
