| Go to Setup Menu from the Upper Tool Bar, choose Category/Area, select the Category button.
|

|
| Categories are groupings of Areas (Rooms, sites, facilities etc). It is usual to place areas with the same prices in a category as tariffs can be set at a category level, which is faster and easier to maintain. It is possible to set tariffs for each Area to cater for exceptions.
|

| Categories can be room types E.g. Twin, Double, Queen, Standard Deluxe, Halls, Meeting Rooms etc.
|
| or location eg; Ocean view, Northern parks,
|
| or any other grouping to suit your operations
|
| Financial reporting is at Category level, which may be another factor in deciding the Categories to apply at your site.
|
|
|
| A Category must have at least one Area attached as it is the Area which is booked.
|
|
|
| The default setting requires a unique Account for each category but this may be overidden ( see Account Set Up, Options tab) if you wish to report on more than one category using the same account number.
|
|
|
|
|
|
|
|
| Display No:
|
| Set the order in which you wish the Categories displayed on your reservation chart. 1 will be at the top of screen, 2 next and so on. The display number may be changed by clicking the Move button and selecting the number required from the drop down list.

|
| Short Description:
|
| Enter a name for the Category (eg. Standard Rooms, Powered site, East Wing) It is this description which will appear on both receipts and reports etc.
|
|
|
| Long Description:
|
| A field to record additional descriptions, this field is optional.
|
| If you have chosen to use RMSOnline it would be benefical for you to enter information into this field as it is then displayed on your online booking screen.
|
|
|
| Maximum No of Occupants per Area:
|
| When a number is entered in this field, RMS will warn or block when the number of people per room exceeds this number. See General Info, Reservations for settings associated with this field.

| Maximum No of Occupants per Category:
|
| When a number is entered in this field, RMS will warn or block when the number of people per category exceeds this number. As this number deals with the overall category you will need to add up the number of occupants per room within this category then enter the total number.

| Type:
|
| This field is no longer utilized in RMS.
|
|
|
| Account Code:
|
| Select an account number/name to record revenues for this category against. The default setting requires a unique Account for each category but this may be overidden ( see Account Set Up, Options tab) if you wish to report on more than one category using the saame account number.

|
|
| Property:
|
| If you have setup multiple properties under the Ancillary Setup then you may attach a category to a specific property.
|
|
|
| Layout File Name:
|
| You can attach a picture of the category (building) by simply browsing your network to find the picture file.
|
| This field is also used for the RMSOnline module where the path would be a URL address to the picture which resides on the web.
|
|
|
| Class:
|
| Select Accommodation for categories with accommodation areas and Facility for categories with non-accommodation areas.
|
|
|
| Category Manager:
|
| If using RMS online to receive internet bookings you may select one RMS user to receive email noticification of bookings being received. That user may then confirm the booking, allocate a room or undetake any further processing.
|
|
|
| Interconnecting Category:
|
| Selecting this option activates the interconnecting category function, this option should only be selected if you have areas that are interconnecting. Please consult with an RMS Customer Support member before setting up your interconnecting areas.
|
|
|
| Book By:
|
| Accommodation categories will usually select By Night the departure date will then default to one day later than the arrival date, awaiting any change required.
|
| Facility / Event Management Module categories are frequently booked per day, and can select that setting. Default Arrival and departure dates will be the same date when book by day is selected.
|
|
|
| Rental per sq Mt/ Code.:
|
| These fields is no longer generally used.
|
|
|
| Code:
|
| This field is specifically for the Res Res Import routine, allowing to user to enter the type of accommodation that category accepts e.g. 4x4 or 4x6, in turn the import routine uses this field to determine what type of accommodation clients have requested and ensures there are sufficient allotments for that type.

| Commonly used in UK properties.
|
|
|
| Rental Type:
|
| The Global Tax settings are established in Accounts Set Up, Tax tab but for Sites with multiple Tax settings, settings for each category may be established here. Please check applicability with your accountant.
|
|
|
| Available Times:
|
| Facility / Event Management Module only: Select the times this category will be available. Include Saturdays and Sundays as required.
|
|
|
| Budgets:
|
| Budget bed nights may be entered here, for comparison with actual achieved figures.
|
|
|
| Allow Multiple Reservations over the same time:
|
| This field allow you to make multiple reservations in the same room over the same dates. Therefore overbooking a room. See Room Sharing for more information before turning this option on.
|
|
|
| Housekeeper:
|
| If you wish your category to be included on the Housekeepers report you will need to tick the option "Include on Housekeepers Report".
|
| Precheck/Arrival, Service, Service/Linen & Departure are all optional fields. If you wish to use the housekeeper sheduling - meaning that you wish to record the times it takes to do all of the above tasks and allocate specific areas to specific housekeepers governed on time available then you would enter the number in minutes you would expect these tasks to be completed in.

| Tariff Type:
|
| The tariff calculation method may be selected here, or left as the default settings established in Account/ Setup/ Options Tab. If seelcted here, tariffs will be calculated using the method selected here.

| Creat Nightly Tariff - Would mean that each nights tariff would be applied to the reservation account seperately and only created on the specific day for that tariff, this method is normally chosen by those properties who wish to use the night audit (end of day) feature of RMS.
|
| Create Total Tariff - This method is where the total tariff for the entire stay of the reservation would be created in one line when the reservation is checked in.
|
| User to Choose - This setting gives the user a choice everytime they make a reservation to either make it Nightly or Total Tariff - Not commonly chosen.
|
| Use Settings from Account Setup - Uses the setting under Accounts/ Setup/ Options Tab as default for all.
|
|
|
| Default Times:
|
| Set your default arrival and departure times for this category here, if they are different from your property defaults previously set in General Inoframtion, Reservation tab.
|
| Attributes:
|
| Once an attribute list has been establised under the Anciliary Setup for categories you can then attach specific attributes to each category. See Attributes for further information.
|
|
|
| Attributes may be the position, furnishings, extras that a category may offer to a client.
|
|
|
| In attaching these attributes you can then search for a category by specific attribute/s in the Reservation Chart and Availability Chart.
