Adding Account Codes

Video tutorial (requires broadband Internet connection) - General Ledger Code Setup  
 
Click on the Set Up menu, upper tool bar then select the Accounts button then Add to display the Accounts add screen.  
 
Account Codes attach to your sundry charges and categories, they are utilized in the financial reporting of RMS.  
 
Accounts record and group each Charge raised in RMS. They are a record of your income and you may establish as many accounts as needed.  
 
Account Code:  
Account codes may be apha or numeric charcaters or a mixture of both. It is recommended that the Account Code be the same as used in your General Ledger system.  
 
Short/ Long Description:  
The short description will appear in reports and the long description may be used to further identify which items are recorded in the account. The long description may also be used as a mail merge field to provide more detail than the short description.  
 
Grouping:  
Grouping provides an ability to place similar accounts in a group for reporting purposes, with a sub total for each group. Groupings are established at the Grouping button in the Set up Menu – it is recommended that Groupings are established before adding Accounts, thus avoiding the need to add Groups to Accounts at a later time.  
   
Trust Grouping:  
Trust grouping is only used when the Owner Accounting module is used and tells the system which charges to include in which EOM income expenses column of the owner statement.  
   
AddAccount  
 
Budgets may be added through the Budget button. Budget entries must be for future months – it is not possible to post date budgets.  
 
AccountBudgets  
 
To increase the number of months on the screen change the from and to date at the bottom of the scree and choose refresh.  
 
After typing each monthly figure in the budget amt field provided you must hit enter on your keyboard to go down to the next month.  
 
Once entered simply click exit.  
 
Figures entered here will be used on your Budget vs Actual report under the management reports menu.
