Product Definitions:
RMS Online is a product designed by RMS which uses a link on your web page to allow the public to book directly with your property.
Distributor is a seamless interface into RMS from third party companies For Example Wotif, DirectWithHotels & Siteminder. For a complete list of Distributors please speak with your RMS Salesperson.
Can I use both RMS Online & Distributor products?
Yes. Both RMS Online and Distributor work seamlessly together allowing you more exposure for your internet bookings.
How do I get reservations?
For RMS Online reservations will be made using a 'Book Now' or similar button from your web site. This button has a hyperlink to the RMS Online reservation screens.

For Distributor a link will be provided between your property and the distributor of your choice.
Do I need any additional equipment to run RMS Online or Distributor?
No additional hardware equipment is required to run RMS Online or Distributor.
We will provide you with a small application to be installed on your existing RMS system once your registration form is completed, signed and returned.
Do I need to be connected to the internet 24-7?
A permanent internet connection is required for RMS Online and Distributor. This can be in the form of a broadband connection using Cable, ADSL, ISDN, Satellite or Narrowband using a standard Dialup connection.
A high speed connection is preferable, though any of the above connections can be used.
Temporary internet disconnections will not prevent your guests from booking with RMS Online or Distributor.
How do I control Availability and Tariffs on RMS Online?
In your RMS system you will be required to activate further features for Travel Agents which will allow you to nominate the Rate Types as well as the number of Areas you wish to make available for RMS Online and/or distributor. Although automated once set this information can be changed at your convenience as required.
We suggest that you set a rate in your system for 'Internet Special' or similar for use on RMS Online and/or Distributor, having only one rate available will make it less of a chore for your guests to make internet reservations.
Is it a time consuming task to update my Availability and Tariffs?
No. RMS Online and Distributor are both an automated set and forget allocation system which seamlessly integrates with your dynamic inventory. However changes to your existing Rates and Allotments can be updated at any time with the push of a button!
Can overbooking occur with RMS Online?
Management tools are available within RMS to eliminate the possibility of overbooking.
RMS Online and Distributor will automatically update your availability every 2 minutes or less depending on your occupancy therefore the higher your occupancy the more frequently the RMS Online Client will check for new reservations.
How do I know when I have received a reservation?
Each time a reservation is made using RMS Online or Distributor a confirmation letter is emailed to both yourself and the guest.
The reservation will appear in your RMS system as a confirmed reservation.
RMS Online will automatically update your availability every 2 minutes or less depending on your occupancy therefore the higher your occupancy the more frequently RMS Online will check for new reservations.
Management tools are available within RMS to eliminate the possibility of overbooking.
You are able to print a Reservation list from RMS for the Travel Agent RMS Online to view the number of reservations created within a certain period.
How will the Reservation be processed in RMS?
RMS Online and Distributors will create the reservations in your RMS system allocating the first available room from the category chosen in your RMS database. The Travel Agent for RMS Online or the Distributor will be stored against the reservations allowing you to easily distinguish your internet from your manually entered reservations.
The RMS Online system will also show a receipted deposit on the reservation account by the method 'direct credit' for the amount of the payment taken using the Payment Gateway within RMS Online, this receipt will be dated for the following Tuesday when your nominated account will be credited. Expenses will be dispersed to your RMS Online Travel Agent account for your RMS Online and Bank fees.
No receipt will be generated against reservations which are provided by Distributors.
As Distributors choose to book by category rather than room if this product is chosen it would be advisable to change your RMS system to do the same.
If you choose to remain book by room in your RMS system we suggest that you ensure that your booking chart is fully optimized at all times, if it is not please be aware that reservations provided by Distributors may be created in your system as quotes you will be notified at the time the reservation is placed into your RMS system; this would occur in the situation where the same room is not available in the specified category for the entire reservations stay. In this scenario you would need to move reservations on your booking chart to create availability for the reservation in question.
How and when do I get paid?
RMS Online uses a Payment Gateway allowing your guests to pay for there accommodation instantly using Bankcard, MasterCard or Visa, more options will be available in the near future.
The RMS Online booking period is from Monday to Sunday. Payment for reservations made through RMS Online within this weekly booking period will be direct credited to your nominated account every Tuesday.
For the Distributor product the income will be supplied to you as per your agreement with that company.
